An engineering team ships an authentication feature. It works. Three weeks later, support tickets are arriving from customers who cannot make it work, because the documentation says the token expires and does not say what to do when it does, and the error message it produces appears nowhere in the reference.

Somebody has to sit with the engineer, extract what actually happens, work out what the customer was trying to achieve when they hit the wall, and rewrite the page so the next thousand customers do not raise a ticket.

That person is a technical writer, and their work has just removed cost from the business in a way that can be measured.

Students who write well are routinely steered toward journalism, teaching, content marketing or the civil services. The technical route is rarely named, despite hiring steadily and paying on a technology scale rather than a publishing one.

The Job Is Comprehension, Not Prose

This is the misconception that keeps good candidates out and lets weak ones in.

Applicants assume technical writing rewards elegant language. It does not. It rewards the ability to understand a complex system quickly, identify what a specific reader is trying to accomplish, and remove everything that does not serve that goal.

A technical writer spends more time interviewing engineers, reading source material, testing the product themselves and asking uncomfortable clarifying questions than they spend writing sentences. The writing is the last and shortest stage.

Nobody reads documentation for pleasure. They read it while something is broken, or while a deadline is running. Every sentence that is not load-bearing is an obstacle.

The people who fail at this job are usually not weak writers. They are writers who were unwilling to keep asking what happens next until they genuinely understood the answer.

The Field Contains Four Distinct Professions

They are frequently conflated in job listings, but the day-to-day work differs substantially.

Product documentation covers user guides, administrator guides, release notes, troubleshooting content and knowledge base articles. The audience is a customer trying to complete a task. The measure of success is task completion without a support contact.

Developer and API documentation is written for engineers integrating with a product. It requires reading code, understanding request and response structures, authentication flows and error handling, and producing reference material, tutorials and working sample requests. This specialization pays the most and has the smallest supply of qualified candidates, because it demands genuine technical comfort.

UX content design is the writing inside the interface — labels, empty states, error messages, onboarding sequences, confirmation dialogs. It is written in fragments, decided alongside designers and researchers, and it changes user behavior more directly than any help page.

Instructional design builds learning rather than reference. It covers corporate training, product enablement, compliance modules and certification content, and it involves analysing what learners must be able to do, sequencing content, designing assessment that measures the capability rather than recall, and evaluating whether the training worked.

A graduate should pick one and go deep. Generalists in this field are hired later and paid less.

The Tools Are Specific, and Naming Them Matters

Vague claims of “content skills” fail immediately at screening. The working stack is concrete.

  • Markup and formats: Markdown, reStructuredText, XML — with DITA still in use in large structured-documentation environments.
  • Docs-as-code: Git, static site generators, a documentation review workflow that mirrors code review.
  • API tooling: the OpenAPI specification, Postman for testing endpoints, and generated reference sites.
  • Help authoring and knowledge bases: established authoring tools and platform-native knowledge base systems.
  • Diagramming: the ability to produce a clean sequence or architecture diagram is a genuine differentiator.
  • Instructional design tooling: authoring software for e-learning, an LMS, SCORM packaging, and a design model such as ADDIE to structure the work.

Docs-as-code deserves particular attention. In most software organizations documentation now lives in a repository next to the code, is written in Markdown, is reviewed through pull requests, and is published automatically. A candidate who is comfortable with Git and a terminal is immediately more employable than one who is not, regardless of stream.

Domain Comprehension Beats Writing Ability at Interview

Hiring managers screen for whether you can understand the product, because prose can be edited and comprehension cannot be supplied.

Typical assessment tasks include rewriting a badly written procedure, documenting a small feature from a specification, explaining a technical concept to two different audiences, or reviewing an existing page and listing what is wrong with it and why.

The correct approach in each case is the same: identify the reader, identify the task, structure by the sequence in which the reader will act, and cut everything that flatters the author.

The Portfolio That Gets a First Interview

There is no requirement to be published to build one, which is why this field rewards initiative.

Choose an open-source tool with weak documentation and rewrite one section of it properly — then submit it as a pull request, so the work carries a public record. Take a public API and write a getting-started tutorial that a competent developer could follow without any other resource. Document a physical process end to end with clean structure and a diagram. For instructional design, build one short module with a stated learning objective, a sequence and an assessment that tests performance rather than memory.

Three genuinely good samples beat twenty pages of general writing. Present each with a short note explaining who the reader was and what decision you made about scope.

Where These Careers Lead

The progression is real, and it is the part students never see when they dismiss the field as clerical.

Technical writers move into senior and lead writer roles, then into documentation management, information architecture, developer relations, or content strategy. API writers frequently move toward developer advocacy or solutions engineering, where the same explanatory skill is applied in a commercial setting. Instructional designers move into learning experience design, enablement leadership and organizational learning roles.

The common thread is that all of these are jobs in which understanding a system and communicating it precisely is the product, not a supporting activity.

Language ability, on its own, is a crowded qualification. Language ability attached to genuine technical comprehension is not, and it is one of the few combinations that lets an arts graduate and an engineering graduate compete for the same well-paid role on equal terms.

Because screening is sample-based rather than marks-based, a student from any stream can compete on evidence alone. Building two documentation samples during the final year is one of the few preparation activities that converts writing ability, which most students treat as a soft attribute, into a demonstrable technical qualification.
